Adding or replacing portrait photos after import

Modified on Fri, 13 Sep, 2019 at 10:40 AM

If you have been provided with retake images or took candid photos of people who missed photo day, you can add these to your database at any time, even if your panel pages have already been created.

Adding a new collection of portraits

If you have received an additional portrait database to import (retakes, missing images), click on Import Portraits on the top menu.

  • If the package includes a PSPA format database, follow the steps outlined here.
  • If you only have a collection of photos, follow the steps outlined here.

After importing, the new records will appear in the portrait database. They will not over-write existing records, even if the portrait is a retake. Note that you will need to exclude or delete duplicate portraits or persons from the database. New photos cannot be attached to existing records.

Adding a single portrait

Access your portrait database in the book manager's Manage Portrait tab.

To add a single portrait to your database, click on New Person on the top menu.

Add as much information about the new portrait as possible. First or Last name is required.

Click Create person at the bottom of the window to save your changes.

Upload the portrait photo to complete the addition.

Navigate to the folder on your computer where the photo is located. Select it, then click open.

Save the new photo to add it to your database.

Be sure to double-check the information added to the image, to ensure you filled out all the details required so the portrait's information matches that of the other portraits in the same group (eg. the grade, teacher, homeroom, department, group, and priority match the info of the person's colleagues).

Replacing a portrait image

Retake photos can be added to existing people. This is useful if you only need to swap photos for a limited number of people.

Click once on their portrait in the table, then click Upload Photo.

Navigate to the location where the new photo is stored.

Select it, then click Open

The replacement photo will upload. Save the new photo to add it to the database.
